What Information Do You Need to Book a Limousine?

To book a limousine you need five things: the date, the pickup time, the pickup address, the destination, and how many passengers are travelling. Give us those and we can confirm a vehicle. Everything else adjusts the price, the car or the plan.

Most of the enquiries that reach us cannot be answered as written. A message saying “how much for a car tomorrow” contains no bookable information at all, because the answer ranges from a short transfer to a twelve hour day with a coach, and the figures sit nowhere near each other. We then spend two exchanges collecting what one message could have carried.

So this article is the list, written from the booking side. We have covered the questions you should ask a limo company elsewhere, and this is the same conversation running the other way. White Line Limousine LLC has taken these enquiries in Dubai since 2011, and the information sorts cleanly into three groups: what we cannot work without, what changes the quote, and what only matters on the day something goes wrong. Most people send the first group and skip the third, which is the group that saves the booking when a flight slips or a venue closes a gate.

Quick takeaways Five fields create a booking: date, time, pickup, destination, passenger count. Luggage count belongs with passenger count, because the two do not rise together. For airport pickups the flight number outranks everything else, including the landing time. You need no driving licence, no International Driving Permit and no credit card deposit. Those belong to self drive rental. Cross border trips into Oman are the one case where real documents are required, including passports and an exit fee. Airport arrivals carry a 60 minute grace period measured from the updated arrival time. Every other pickup gets 15 minutes. Cancel 24 hours ahead at no charge. Inside 8 hours, or a no show, is charged in full.

What can we not book without?

Five pieces of information create a confirmed booking, and a missing one stops the process instead of slowing it. The date comes first, and send a date instead of a day of the week, because “Friday” means two different things depending on when you type it. The pickup time follows. If the time depends on something you cannot control, like a meeting finishing, say so, since we would rather build an open ended block than hold you to a time you will miss.

Then the pickup address, in enough detail to find a door. Dubai has several buildings carrying similar names, hotels with three entrances, and towers where the drop off point sits on a different road from the postal address. A building name plus the community is usually enough, so “Boulevard Plaza, Downtown Dubai” works where “Boulevard Plaza” alone can send a driver to the wrong side of a block. The same applies across Business Bay, Dubai Marina, JBR, DIFC, Palm Jumeirah, Deira and Jumeirah Beach Road, where tower clusters repeat names freely. For an airport, say which one and which terminal, since DXB runs Terminals 1, 2 and 3 while DWC at Al Maktoum is a separate airport roughly 40 km further out. A dropped pin settles any address faster than a paragraph describing it.

The destination matters next, even on a booking where the car stays with you, because the route determines whether you leave the emirate and whether tolls apply. And finally the passenger count, which decides the vehicle class before anything else does.

That is the minimum. If you send those five in one message, you get a price back in one reply.

The details that move the number

Luggage count deserves its own line next to the passenger count, and leaving it out is the single most common reason a quote changes after we send it. Our published figures show why. The Lexus ES 300h carries three passengers and three bags. The BMW 5 Series takes three passengers and four bags. The Mercedes V250 holds six and five, while the Citroen Spacetourer holds six and seven. The GMC Yukon XL seats seven but takes only five bags, and the Mercedes Sprinter handles twelve of each. So a group of four with six large cases fits the Spacetourer and overflows the Yukon, even though the Yukon seats more people. Quoting on headcount alone is guesswork, and the guesswork gets discovered at the kerb. There is more on this in our guide to how limo services keep luggage safe during transit, including the loading order and the three moments where bags actually go missing.

How long you need the car is the second lever. A single transfer, a three hour block, a half day, a full day and a monthly arrangement are priced on different bases, and the cheapest option is rarely the one people assume. A day with four separate movements almost always costs less as one full day booking than as four transfers, and it removes the waiting between them.

Say whether the car waits between stops or releases after each one. That single sentence separates a point to point job from a car held at your disposal, and the two carry different rates.

Flag anything oversized, fragile or awkward. Golf clubs, skis, bicycles, pushchairs, musical instruments, camera cases, wheelchairs and mobility aids change which vehicle you need, well beyond simply filling it. A sedan that takes four suitcases comfortably will not take two golf bags without a seat folding down.

Child seats need the child’s age along with the request, since the seat type depends on it. Tell us at the booking stage and the seat is fitted before the car leaves.

Whether the journey leaves Dubai is the last of these. Abu Dhabi, Sharjah, Ajman and Ras Al Khaimah each add driver hours and tolls, and the Abu Dhabi side charges Darb tolls instead of Salik. Ask for the all in figure so the return leg is already inside the number.

Which information only matters when something goes wrong?

Hardly anyone sends this group, which is a shame, because it is the group that rescues a booking at 11pm. A mobile number that reaches the passenger matters most of all. Not the number of the person arranging the car, but the number of the person getting into it. When a chauffeur is at a hotel forecourt where three guests are waiting for three different cars, a direct call ends the confusion in ten seconds.

A second contact helps on anything with moving parts. For a wedding or an event, make that the coordinator instead of the couple or the host, because the people the day is about are the people least able to answer a phone during it.

Tell us about access restrictions you already know of. Gated communities with a visitor pass system, villas where the driveway cannot take a long vehicle, towers with a separate service entrance, venues that close the main lane during events. All of it is easy to plan around with notice and awkward to solve with a car already waiting at the wrong gate.

Say if the timing has hard consequences. There is a real difference between a dinner booking you would rather not be late for and a ceremony that starts without you. We build a different buffer for the second, and we can only do that if we know which one it is.

And if anyone in the party has mobility needs, medical equipment or a condition affected by a long wait in the heat, say so plainly. It changes the vehicle, the loading order and where the car is positioned.

The one field that outranks the rest

Every booking type has one field that carries more weight than the others combined, and which field that is changes with the service. Get it right and the rest of the booking tolerates a few gaps. Get it wrong and the other nine fields cannot rescue the day.

Your booking The detail that matters most Why
Airport arrival Flight number It tracks the aircraft, so a delay moves the pickup
Airport departure Check in deadline The pickup is built backwards from it
Wedding The coordinator’s mobile number The couple cannot answer a phone that day
Corporate day Whether the car waits between stops It decides the booking type and the price
Group transport Luggage count Seats and boot space do not rise together
Conference week The full week’s schedule The vehicle is held rather than re-booked daily
Red carpet or launch The venue’s vehicle access plan Cars enter in sequence and leave another way
Film or photoshoot Honest expected finish time Production days overrun and drivers get reassigned
Trip into Oman Passport details and nationalities Visa rules differ and the border needs paperwork
Monthly arrangement Daily hours and expected mileage Both drive the rate more than the vehicle does

The airport one is worth repeating because it is the most common error we see. A pickup booked against a landing time leaves a car idling on a kerb while the aircraft is still somewhere over the Gulf, and the waiting is billed to you. A pickup booked against a flight number moves when the aircraft moves. Our article on the first thirty minutes after landing walks through how a DXB arrival actually unfolds from the aircraft door to the car. Those are different products at the same price. Our own terms grant the airport grace period from the updated arrival time, and the update only happens if we hold the flight number to track.

The wedding row reads like a small administrative point, and it decides the day. On the morning, the couple’s phones are in somebody’s bag, on silent, or being used for photographs. A chauffeur who can only reach the bride is a chauffeur who cannot reach anyone, and that is how a car ends up at the right venue at the wrong entrance.

The corporate row decides the commercial basis of the whole booking, well beyond any detail inside it. A car that waits is held at your disposal and priced for the period. A car that releases after each leg is a series of point to point transfers. Clients sometimes describe the first and get quoted the second, and the gap shows up on the invoice.

What should a confirmed booking contain?

Information travels both directions, so here is what you should get back. A confirmation should carry the vehicle type, the date and pickup time as we have recorded them, the pickup and drop off points, the duration or the journey basis, and one all in price with fuel and Salik inside it. Ahead of the day you should also get the chauffeur’s name and mobile number.

Read the recorded time and address back against what you sent. Transcription errors happen in every operation on earth, and the cheapest moment to catch one is while it is still text on a screen. If the confirmation says 7am and you meant 7pm, that is a two second fix today and a ruined morning on the day.

If the price arrives without fuel and tolls specified, ask which of them sit inside it. A figure that excludes both is a starting number rather than a price.

Our terms commit to an email confirmation for a new reservation, a changed reservation and a cancelled one. Treat that email as the booking record. If you agreed something on a call and no confirmation followed, the change has not landed yet, and the fifteen seconds it takes to chase it is cheaper than discovering the gap on the morning.

Frequently Asked Questions

What information do you need to book a limousine?

The date, the pickup time, the pickup address, the destination and the passenger count. Those five create a confirmed booking. Add the luggage count, the duration you need and whether the car waits between stops, and the price comes back accurate on the first reply rather than after three messages.

Do I need a driving licence to book a chauffeur in Dubai?

No. A driving licence, an International Driving Permit, an Emirates ID and a credit card deposit are self drive rental requirements, where you are the driver. With a chauffeur the operator holds the licence, the insurance and the vehicle registration, and you travel as a passenger.

What do you need for an airport pickup?

The flight number above everything else, plus the terminal if you know it, the passenger and luggage counts, and the drop off address. The flight number lets the pickup track the aircraft, so a delayed landing moves the car instead of leaving it waiting on a kerb with the clock running.

Why do you ask for luggage count separately from passengers?

Because seats and boot space do not rise together. In our fleet the Citroen Spacetourer carries six passengers and seven bags while the GMC Yukon XL carries seven passengers and five. Four people with six large cases need the Spacetourer, even though the Yukon is the larger vehicle on paper.

What information is needed to book a limousine for a wedding?

The ceremony and reception addresses, the time that cannot slip, the number of vehicles, who travels in each, and a coordinator’s mobile number that is answered on the day. Avoid giving the couple’s number as the primary contact, since they are the two people least able to take a call during the event.

Do I need to send passport details?

Only for a trip across the border into Oman, where every passenger needs a valid passport, there is a UAE exit fee of AED 35 per person at the Hatta crossing, and Oman visa rules differ by nationality. For journeys inside the UAE, including Abu Dhabi and Sharjah, no documents are needed.

How far in advance should I book?

A standard sedan transfer is often available the same day. Larger vehicles and group movements want a few days. Weddings, conference weeks and event work should be confirmed well ahead, since they commit a named vehicle and chauffeur. For reference, the flydubai chauffeur service allows free changes up to 48 hours before pickup, which is a fair guide to how this market works.

What should I check on the booking confirmation?

The date and pickup time, the pickup address, the vehicle type, and whether the quoted price includes fuel and Salik. Read the time and address back against what you sent, because a transcription error costs two seconds to fix today and an entire morning on the day.

How long will the chauffeur wait before charges start?

Airport arrivals carry a 60 minute grace period, measured from the updated arrival time instead of the one originally scheduled, which is what makes the flight number worth sending. Every other pickup carries 15 minutes. Past either allowance, waiting is charged at the hourly rate for the vehicle you booked.

What is the cancellation policy?

Cancel 24 hours or more ahead of the scheduled pickup and there is no charge. Inside 8 hours of the service, and for a no show, the booking is charged in full. Short notice amendments count as a new booking alongside the original, so a 2:00pm pickup moved to 4:00pm at 1:30pm attracts both charges.

How do I pay, and is VAT included?

American Express, Mastercard, Visa and PayTabs are accepted, along with cash or cheque subject to an authorised credit card guarantee and identity validation. A 5 percent VAT applies. No security deposit is held, because the vehicle stays in our care throughout. Companies booking regularly can move to invoice through a corporate account.

Can I book without knowing my exact schedule?

Yes. Tell us the shape of the day instead of the timings and we will quote it as a block with the car held at your disposal. This is usually cheaper and always smoother than booking separate transfers and then rearranging them as the day moves.
