Arriving at the hotel prior to the evening function. There are two routes (primary and contingency) for each leg. All of it is constantly tracked by our dispatch staff. In the event that one leg is extended and the timing for the downstream leg is recalculated on the spot, the notification is sent to the advance team prior to inquiring.

Our dispatch staff monitors the inbound flight all the way. The driver will know, if the plane will arrive 15 minutes earlier. If it is back 40 minutes the driver has already tweaked. Co-Ordinator is informed of arrival time in advance and the party at the venue/hotel is prepared at the time of the arrival of the vehicles.
Departure transfers are done in reverse order. At a known time the vehicle is parked at the hotel. Luggage is loaded by the driver. The driver checks the terminal and attempts to get an update on any last minute changes. The route to the airport is planned to accommodate traffic and security screening to the airport. The official comes with a lot of time to spare. Our dispatch team is not just building that margin – it’s inevitable.
The car is an extension of the government officials’ hotel for a multi-day visit. Our hotel standby vehicle service places the car and driver at the hotel entrance during the entire stay. Our driver parks the car in the appropriate spaces for VIPs or limousine buses and arranges to have the car there before the official arrives at the hotel lobby.
Part of government schedules involves having to be on standby, as it is not always known when they are going to leave. This is a bilateral meeting at the hotel which could be over at 11:00 or it could continue until 11:45. The official will only be aware of this after it is finished. Our standby car is also available for hotel to hotel transfers for those officials who will be hosting their meetings at the hotel. We pick them up from the hotel they are staying at nearby and take them to the meeting and back afterwards. This courtesy service is a part of diplomatic practice, and our drivers know that the courtesy client in the back seat is treated like the main client.
Overnight standby ensures the car stays in the hotel throughout the trip. The driver on duty alternates on-duty and rest periods and if the schedule is longer than normal hours, there will be a backup driver. A same driver is provided for three day and five day visits. The driver will have learned the driver of the official’s speed, seat preferences, and whether they like quiet or feel content with being updated on the roads. This uniformity isn’t a nice-to-have. There are numerous multi-city government trips. A visiting official may be asked to meet with us in the morning in Abu Dhabi, the afternoon in Dubai and the evening in Sharjah. Our most common intercity route service to government clients is the Dubai to Abu Dhabi service service, which takes about 140 km in 60-90 minutes according to the time of the day.
All intercity legs will leave at an appointed time, which will be known by the dispatch team. Typically, the E11 will be faster in the morning (before 7:00AM). Drives during the work week during midday or evening may be 20-30 minutes longer. We plan for the realistic drive time, NOT the optimistic drive time! If we are scheduled to depart for Dubai at 08:00 AM for a 10:00 AM departure in Abu Dhabi, our staff will decide the departure time from the hotel based on this time. If we are scheduled to depart for Dubai at 08:00 AM, and arrive in Abu Dhabi at 10:00 AM, our staff will determine the hotel’s departure at 08:00 AM, with a 20 minute contingency.
Our drivers switch to other routes on Dubai to Northern Emirates roads like in Sharjah, Ajman and Ras Al Khaimah, that avoid the Sharjah border crossing during rush hours when it is overcrowded. It is local knowledge that is not in the official’s back seat and it’s why he shows up on time. As a consequence of these not being the busiest routes, our drivers run these routes on a regular basis and the dispatch team have a good understanding of the traffic pattern on these routes and can advise on times to leave this route.
